Writing auto-reply copy that doesn’t sound robotic

- Write the way your team actually talks. If your agents wouldn’t say “Your inquiry has been received and will be actioned accordingly,” your auto-reply shouldn’t either. Read it out loud before saving it.
- Personalize with variables instead of writing separate templates for every scenario. A single “Order delayed” template with

- Over-automating too early. Turning on a full AI agent for every conversation before you’ve tested it on your actual customer questions leads to confident, wrong answers going out unsupervised.
- No escape hatch. Every automated flow, quick reply, out-of-hours message, or AI agent, needs an obvious way for the customer to reach a human.
- Writing for the worst case only. Overly formal, liability-driven copy makes every interaction feel like a legal notice. Save that tone for the rare situation that actually needs it.
Getting the balance right
