This Privacy Policy explains how Resolvenyx Ltd collects, uses, stores, and shares personal data when you use the Resolvenyx platform. We are committed to protecting your privacy and complying with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who We Are
Resolvenyx Ltd ("Resolvenyx", "we", "us", "our") is the controller of personal data processed through the Resolvenyx platform. We are incorporated in England and Wales. If you have any questions about this policy or how we handle your data, contact us at hello@resolvenyx.com.
2. What Data We Collect
We collect information you provide directly, such as your name, work email address, company name, and billing details when you register or subscribe. We also collect data generated by your use of the platform: login activity, feature usage, ticket metadata, and device and browser information. If you contact us for support, we retain those communications. We do not collect data from end-customers (your WhatsApp contacts) beyond what is necessary to operate the messaging features on your behalf.
3. How We Use Your Data
We use your data to: (a) create and manage your account; (b) provide, maintain, and improve the Service; (c) process payments and send billing communications; (d) send product updates, security alerts, and support messages; (e) comply with our legal obligations; and (f) detect and prevent fraud or abuse. We will not use your data for any purpose incompatible with the reason it was collected.
4. Legal Basis for Processing (UK GDPR)
We process your personal data on the following legal bases: (a) Contract, processing necessary to deliver the Service you have signed up for; (b) Legitimate Interests improving the platform, preventing abuse, and communicating relevant updates, where these interests are not overridden by your rights; (c) Legal Obligation, compliance with applicable laws and regulations; and (d) Consent; where we rely on consent (e.g. marketing emails), you may withdraw it at any time.
5. WhatsApp & Customer Message Data
The Service connects to the WhatsApp Business API operated by Meta Platforms, Inc. Customer conversation data is processed on your behalf as a data processor acting under your instructions. You remain the data controller for your customers' personal data. You are responsible for ensuring your customers have been informed about data processing and, where required, have provided appropriate consent. We process this data solely to provide the messaging functionality and do not use it for any other purpose.
6. Data Sharing & Third Parties
We do not sell your personal data. We share data only with: (a) sub-processors who help us operate the Service (cloud hosting, payment processing, email delivery, analytics), all bound by data processing agreements; (b) Meta Platforms, Inc., to facilitate the WhatsApp Business API connection; (c) professional advisers (lawyers, accountants, auditors) under strict confidentiality; and (d) authorities where required by law. 7. International Data Transfers
Some of our sub-processors operate outside the UK or European Economic Area. Where data is transferred internationally, we ensure appropriate safeguards are in place, such as the UK International Data Transfer Agreement (IDTA) or EU Standard Contractual Clauses, as applicable. 8. Data Retention
We retain your account data for as long as your subscription is active and for 30 days after termination or trial expiry, after which it is permanently deleted. Billing records are retained for 7 years to comply with financial regulations. Conversation and ticket data is retained in accordance with your account settings and deleted on termination. We may retain anonymised, aggregated data indefinitely for analytics purposes.
9. Cookies & Tracking
We use strictly necessary cookies to operate the platform (e.g. session authentication). We also use analytics cookies (Google Analytics) to understand how visitors use our website. 10. Security
We implement appropriate technical and organisational measures to protect your data, including encryption in transit (TLS) and at rest, access controls, and regular security reviews. No method of transmission over the internet is 100% secure. If you discover a potential security issue, please report it to hello@resolvenyx.com and we will investigate promptly.
11. Your Rights
Under UK GDPR, you have the right to: (a) access the personal data we hold about you; (b) rectify inaccurate data; (c) erasure ("right to be forgotten") in certain circumstances; (d) restrict or object to processing; (e) data portability; and (f) withdraw consent at any time without affecting the lawfulness of prior processing. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
12. Children
The Service is not directed at children under the age of 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us at hello@resolvenyx.com and we will delete it promptly.
13. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or in-app notice at least 14 days before they take effect. The effective date at the top of this page indicates when the policy was last revised. Continued use of the Service after changes constitutes acceptance.
